law firm client portal

Your firm set up a client portal to make collections easier. Clients can log in, see the bill, and pay online in minutes. So why is AR still creeping up?

If invoices are still sitting for weeks at a time, or if clients don’t use the portal as often as you’d like, your configuration deserves a closer look.

Most client portals let you adjust invoice timing, payment options, reminder settings, and trust replenishment workflows. Those configurations determine how quickly invoices get delivered, viewed, and paid.

A few changes can reduce client hesitation, improve cash flow, and shorten the payment cycle.

This client portal audit helps you look at the full payment experience from a client perspective, find gaps that impact collections and AR, and adjust settings to make payment a faster, smoother process for clients.

Why Your Client Portal May Be Slowing Collections

A client portal can be fully operational without being optimized. If you’re using default settings, there’s a good chance the portal is underperforming. Rising AR is one sign, but you may also notice:

  • Clients opening invoices without paying right away
  • More staff follow-up on overdue invoices
  • Repeated client questions about using the portal or payment methods
  • Trust balances falling below minimums before clients replenish them
  • Clients struggling to complete payment on mobile devices
  • More unpaid invoices being written off
  • Sluggish or unpredictable cash flow

Before you assume clients simply don’t want to use the portal or start to accept rising AR as unavoidable, check whether the settings are actually giving clients the easiest possible path to payment.

Run a 7-Point Client Portal Collections Audit

The law firm client portal collections process begins even before clients log into the portal. Your settings can be the difference between a lingering balance and one a client can pay as soon as the invoice arrives.

Run through the seven checks below to look for common friction points in your legal billing payment portal configuration. You’ll see simple adjustments that can improve portal and AR performance if your current process falls short.

1. Invoice Delivery Timing

Check: How quickly are invoices delivered to clients once they’re ready?

If your team is batching invoices at the end of the month or still sends them manually, your portal may be creating the same delays you hoped it would remove. This is one of the first settings to check because every day an invoice waits to go out is another day added to the payment cycle.

Review your invoice delivery settings to see where timing can be adjusted in a way that supports faster payment.

What to Adjust:Change invoice delivery settings to help shorten the payment cycle and prevent all bills from being concentrated at month-end. Your portal may allow you to automatically send invoices once they are finalized, or send invoices at preset billing milestones that make sense for a specific matter.

2. Payment Methods and Options

Check: Can clients use the payment method they prefer?

Review every payment method that is currently offered and enabled in your portal. If clients have to exit the portal to pay, request their preferred method, or choose between limited options, that’s an extra barrier before payment can happen. Clients may default to mailing a check, calling your firm for help, or putting off payment until a later date.

What to Adjust: To improve AR, give clients as many options as possible. At minimum, your portal should offer credit card and ACH or eCheck payments.

A stronger setup will include additional options, from digital wallets (like Apple Pay and Google Pay) to convenient Buy Now, Pay Later options that allow clients to pay over time while your firm gets paid in full upfront.

3. Invoice Reminder Cadence

Check: What happens if a client receives an invoice, but doesn’t pay right away?

Payment doesn’t always happen immediately. When clients open an invoice but fail to pay, who handles the reminder—your portal, or your team?

When reminders depend on staff, they create unnecessary manual work each time a client needs a nudge. It’s not uncommon for invoices to slip through the cracks or get overlooked until they’re already past due when reminders are handled manually.

What to Adjust: Your portal may feature an automated reminder setting that sends short, personalized notifications to clients at scheduled intervals based on viewing activity or invoice status.

Set up an invoice reminder cadence that keeps the unpaid balance top of mind for clients without requiring your team to manually track, write, and send each follow-up.

4. Autopay and Saved Payment Method Settings

Check: Is autopay enabled where it makes sense, and can clients save a payment method for future use?

If a bill is predictable and sent on a scheduled basis, paying shouldn’t require clients to take action each time. In certain billing circumstances, including flat fee arrangements, retainers, or other payments that follow a schedule, autopay can make the process easier by enabling clients to pay on time without logging in each month.

For clients and matters where autopay doesn’t make sense, see whether your legal billing payment portal configuration allows clients to save a payment method for future use instead of re-entering card, digital wallet, or bank details each time.

What to Adjust: Make the payment process feel as close to effortless as possible by enabling autopay for recurring payments with client consent. If your portal allows clients to keep a payment method on file, make sure that option is toggled on to streamline payment for clients.

5. Trust Replenishment Settings

Check: How does your portal handle trust balance replenishment?

If staff have to manually monitor trust balances, low funds can be easy to miss until they impact ongoing work or create compliance issues. The process also creates more work for your team, from spotting low balances to contacting clients with deposit requests.

What to Adjust: If your portal supports trust replenishment, set a minimum balance threshold and enable automated requests that prompt clients to deposit funds when balances fall below that amount.

6. Payment Process Friction

Check: How many steps does it take for a client to complete payment?

Walk through the payment process just as a client would. Count the number of clicks, screens, logins, and data fields that need to be filled out before the payment is completed.

  • Are clients redirected to a separate payment system after clicking to pay?
  • Do they need to re-enter information or payment details on multiple screens?
  • Do they receive a clear confirmation email after payment?

Each extra step creates an additional barrier, especially when clients are sent to a third-party payment processor from the portal. That extra handoff can interrupt the experience and make clients hesitate before entering sensitive payment information into another system.

What to Adjust: Look for any additional settings that create extra steps in the payment process for clients. A stronger setup keeps payment processing inside the portal itself, so clients can move from invoice to payment without being redirected elsewhere.

7. Mobile Payment Experience

Check: How easy is the payment process on a phone or tablet?

Clients often open invoices from a smartphone or tablet. If the payment process can’t easily be completed from a mobile device, they may wait to pay until they have time to review it on a laptop or desktop.

Open one of your firm’s invoices on your phone to audit the experience:

  • Is the invoice formatted correctly?
  • Are all buttons and links visible?
  • Are the form fields easy to read and complete?

If clients need to pinch, zoom, or switch devices to pay your firm, putting it off feels like the simpler choice.

What to Adjust: Make sure your client portal supports a mobile-friendly interface that automatically adapts to various screen sizes and resolutions. Clients should be able to open the invoice, choose a payment method, and complete the payment easily from any device.

What Your Client Portal Audit Is Telling You

After reviewing your client portal settings and capabilities, the relationship between it and your firm’s AR performance is clearer.

One weak setting or configuration can add a little friction. But several weak settings can stretch the payment cycle, make cash flow less predictable, and create more collections work for your team.

  • If invoices are going out in monthly batches, the payment clock starts later than it needs to.
  • When reminders rely on staff, follow-ups may be inconsistent or only target already-overdue invoices.
  • If payment options are limited, clients may put off payment until they can use a more familiar method.
  • When clients can’t use autopay or save a method, recurring payments create friction every month.
  • If trust replenishment depends on manual monitoring, low balances get missed and create compliance problems.
  • If clients have to leave the portal to pay, every extra step is another chance for payment to stall.
  • When the mobile experience is clunky, payments may be delayed until clients have time to address them on a different device.

The more law firm client portal collections issues your audit uncovers, the more friction it creates for clients and the more red flags your firm may see financially: rising AR, dips in cash flow, and increased write-offs.

Some gaps can be fixed with the settings changes and adjustments above. Others reveal limitations in what your current portal can do, and where it’s worth looking for a stronger solution for law firm online payment AR improvement.

How CosmoLex and CosmoLex Pay Close the Configuration Gaps

If you found your payment process to be more complicated than convenient, the next question is whether your current setup can make it simpler.

An integrated client portal and payment system can change the experience on both sides. CosmoLex brings your portal together with built-in payment processing, billing, trust accounting, and matters in one secure system.

CosmoLex Pay is built into the client portal, so clients can review and pay invoices without being redirected to a separate payment processor. That removes one of the friction points your audit may have uncovered and keeps the payment experience connected from start to finish.

Automated reminders, trust replenishment requests, and autopay keep payments moving, while flexible payment options and a mobile-friendly experience make it easier for clients to follow through. Your firm manages payments where the rest of the work happens.

When invoices go out faster and payment gets easier, the payment cycle gets shorter. Fewer invoices turn into aging AR. Cash flow gets steadier. And less staff time gets tied up chasing payments.
